Vagaro upgrades its medical spa software with HIPAA compliant SOAP Notes and Custom Fields

Vagaro, a widely used platform for medical spa, beauty, wellness, and fitness businesses, has rolled out new medical spa software upgrades aimed at turning everyday treatment data into measurable business value. The rollout centers on stronger SOAP Notes and Custom Fields, both built to be HIPAA compliant while tightening up clinical workflows across the platform.

With nearly 4 million appointments booked through Vagaro so far this year, the company says it's building its updates directly around how providers actually work day to day.

These latest changes tie together several stages of the patient journey — consultation, treatment documentation, product tracking, inventory, billing, and checkout — into one connected workflow, helping practices manage more information without sacrificing the patient experience.

Upgraded SOAP Notes Bring More Depth to Treatment Documentation

The revamped SOAP Notes give providers a more dynamic way to handle EMR charting. Practitioners can now capture before-and-after photos mid-treatment and use them to visually document procedures as they happen. Photos can be annotated to mark treatment areas, making it easier to flag injection points, laser zones, or spots needing follow-up.

Providers can also tag products and quantities directly to specific areas in treatment images, creating a precise record of what was used where. That data flows back into Vagaro's core platform, sharpening clinical clarity and communication between team members. Because product assignments are tracked automatically and carried through to checkout, treatment documentation stays linked to billing and inventory in real time — helping practices cut down on missed charges and keep inventory numbers accurate.

To speed things up further, the new SOAP Notes support reusable dot phrases, letting providers complete detailed notes faster while keeping documentation consistent across the practice.

Custom Fields Strengthen Consistency in Patient Records

Vagaro's Custom Fields feature has also been expanded, giving med spas more flexibility in how they capture and organize patient information. Practices can use it to collect details like allergies, medications, skin type, and treatment history right on intake and consultation forms, with everything stored directly in the patient profile.

That standardization helps keep records consistent across providers and locations, which matters when patients see multiple practitioners over time. It also reduces the odds of important details slipping through the cracks and makes information easier to find and review later. Because Custom Fields can capture key details before an appointment even starts, providers spend less time gathering information during the visit itself — freeing them up to focus on treatment and the overall patient experience.

Connecting the Treatment Room to the Business Side

Together, the enhanced SOAP Notes and Custom Fields create a more unified workflow — linking patient intake and treatment documentation with product management, injectable tracking, inventory, digital consent forms, and checkout. That gives providers a fuller picture of each treatment and everything tied to it.

For multi-location med spas, this can mean more operational consistency across sites; for smaller, independent practices, it's a way to streamline daily workflow without added complexity.
